Assistant to Producer

Job Summary

Living Films Advertising is seeking a sharp, highly efficient, and trustworthy Assistant to Producer to provide comprehensive administrative, operational, and strategic support.

This is a dynamic, fast-paced role designed for an ambitious professional ready to step into a junior manager capacity. You will act as the right hand to the Producer, streamlining day-to-day office operations, managing complex international coordination, tracking project budgets, and serving as a central hub of communication for our production teams, clients, and senior executives. This role requires absolute discretion, impeccable organization, and a proactive mindset.

Key Responsibilities

1. Executive Coordination & Communication

  • Calendar & Time Zone Management: Manage the Producer’s complex schedule, strategically booking and balancing meetings, scout calls, and network conferences across multiple international time zones (e.g., BKK, NYC, LA, UK).
  • Correspondence Polishing: Draft, review, and refine high-level professional correspondence across various business contexts—including formal emails, client proposals, and WhatsApp communications—ensuring a polished and flawless company voice.
  • Information Filtering: Monitor incoming requests, prioritize urgent production issues, and layer visibility on sensitive financial and operational matters to safeguard company privacy.

2. Team Liaison & Meeting Management

  • Central Point of Contact: Act as a reliable bridge between the Producer, senior coordinators, crew members, and external project partners.
  • Meeting Preparation & Minutes: Attend high-level production calls and scout debriefs, taking detailed, actionable meeting notes, tracking action items, and distributing updates to relevant stakeholders.

Qualifications & Requirements

  • Experience: 2–4 years of experience as an executive assistant, project coordinator, or junior manager—ideally within commercial advertising, film production, or a fast-paced creative industry.
  • Bilingual Fluency: Exceptional written and verbal communication skills in both English and Thai. The ability to navigate cultural nuances and maintain polite, professional business etiquette is mandatory.
  • Technical Proficiency: Highly tech-savvy and comfortable navigating the Apple hardware ecosystem (MacBook, Mac Studio environments). Proficiency with cloud-based collaboration tools, spreadsheets, and project management applications is essential.
  • Problem-Solving & Agility: A proactive problem-solver who anticipates logistical bottlenecks before they happen and functions calmly under tight production deadlines.
  • Discretion: Demonstrated ability to handle highly confidential financial records, contract details, and sensitive company data with total integrity.
